Position Overview
Under the general supervision of the Systems Specialist, the Front Desk Receptionist assists the department in providing customer service and clerical support, including program registration that encourages individuals, families and organizations to participate in and enjoy a wide variety of active and passive recreation activities. The primary objective of the Front Desk Receptionist is to provide a high degree of customer service and clerical support in an organized and timely manner.
In addition to excellent wages, we offer an additional 14% in pay, per hour, in lieu of benefits; access to counselling services; a staff membership pass providing drop-in access to the weightroom, fitness classes, skating, and the pool; as well as the ability to play on our 9-hole golf course.
Job Duties & Accountabilities
- Provides ‘first point of contact’ customer service to patrons and staff.
- Answers all inquiries in person; telephone; and email.
- Directs visitors and provides routine information to facility users and outside agencies regarding programs and services, all while exemplifying excellent customer service.
- Provides clerical support in a variety of areas; operates standard office equipment such as a multi-line telephone system, computer, photocopier, and fax machine.
- Takes registrations, receives and records payments for programs and services.
- Prepares cash receipts for deposit, deposit summaries, and cash reconciliation sheets.
- Prepares lists and tabulations which may involve simple arithmetic calculations.
- Performs other related duties as required.
Qualifications
- High school graduation or equivalent supplemented by courses in customer service, typing and general office practices.
- Knowledge of office procedures, including at least one year's experience in general office work.
- One year of reception experience, including receiving and processing computerized registrations or similar functions.
- Must have experience with Windows, MS Word, Excel and other database systems. Preference will be given to those with Intelligenz registration and facilities management software experience.
- Experience handling cash and processing cash transactions required.
- Must have excellent interpersonal, communication (verbal and written), customer service, and public relation skills.
- Adaptable with the ability to problem-solve in a positive solution-based manner.
- Ability to multi-task, prioritize effectively and efficiently, and complete required work assignments.
- Ability to be tactful, demonstrate excellent judgment, and work as a positive and effective team member is essential.
