Position Overview
Under the general supervision of the Facility Maintenance Supervisor, and working closely with Maintenance Lead Hands, the Administrative Operations Assistant provides administrative support to the Operations department through the coordination of scheduling, procurement, and other related administrative functions.

Job Duties and Accountabilities
- Completes various administrative tasks for the operations department related to preparing invoices, monitoring budgets, compiling reports, and inputting department-related information into appropriate software.
- Prepares staff work schedules; works closely with Lead Hands and the Maintenance Supervisor to address vacation, sick leave, or other staffing coverage or shortages.
- Assists with procurement as required to support department operations; requisitions cleaning materials, supplies, and other items in accordance with the schedule; monitors prices to ensure a cost-savings approach.
- Ensures MDS WHIMIS sheets and education are up to date for all staff and areas.
- Assists with the grant writing process, identifying and seeking federal and provincial funding programs to support capital projects.
- Monitors workflow of pro-maintainers (work orders) to ensure they are delegated and completed within deadlines.
- Assists with the development or adaption of department Standard Operating Procedures (SOPs) to manage change or increase efficiency.
- Assists with new staff orientation including organizational policies and procedures related to time-off and internal processes, health & safety regulations, location of work and the scheduling/payroll system, ComVida.
- Liaise with user groups, maintenance employees, WSPR staff, government agencies, and the public.
- Participates in organizational committees as a representative of the operations department.
- Performs other related duties as required.
Qualifications
- Completion of a two-year diploma in business or public administration, sport management, recreation or a related field.
- At least two years of administrative or clerical experience, preferably within an operations, facilities, or related environment.
- Experience assisting with procurement and provincial and federal grant writing.
- An equivalent combination of education and experience may be considered.
- Highly proficient computer skills, including competency with scheduling and asset management software, MS Outlook, Word, Excel and Power Point.
- Ability to maintain clear and effective communication across teams, using strong interpersonal, verbal and written communication and customer service skills to ensure timely information sharing.
- Ability to establish and maintain strong working relationships with internal and external contacts, other Society departments, vendors, and contractors.
- Demonstrated problem-solving, organizational and time management skills.
- Strong administrative skills and knowledge of office procedures and filing systems (both paper and electronic) with the ability to maintain accurate records and compile brief reports.
- Knowledge of municipal or community recreation services and administration is an asset.
- A valid Class 5 BC Driver’s license is required.
- Emergency First Aid certificate with CPR C/AED and WHMIS certifications are considered an asset.
